Step 3 | Client Onboarding

Organized, transparent, and personalized—your heat pump installation starts with structure

Once your proposal is approved, the project officially begins. Our onboarding process sets the tone for a seamless experience by aligning timelines, assigning your dedicated Project Coordinator, and getting every critical detail in place. At SumZero Energy Systems, we don’t leave anything up to chance—we plan it, track it, and walk with you every step of the way.

Meet Your Dedicated Project Coordinator

From this point forward, you’ll have one consistent point of contact.

Your Project Coordinator is here to:

  • Keep you informed at every step
  • Answer questions about permits, rebates, or timelines
  • Schedule walkthroughs and inspections
  • Ensure your project stays on track

We believe the best experience is a guided one. You’ll never have to chase updates or wonder who to talk to.

Locking in Your Installation Timeline

During onboarding, we confirm:

  • Your preferred installation dates
  • Any timing sensitivities or access notes
  • Inspection requirements and permit processing windows

This phase allows us to prepare both our teams and your household for a smooth installation experience, free of surprises.

Building Your Project File

Every project has a centralized file built by your coordinator. It includes:

  • System specifications and design documents
  • Communication history
  • Mass Save® paperwork and HEAT Loan prep
  • Permit and inspection timelines

This file ensures that everyone involved—office, installers, and design—has a real-time understanding of your project status.

Why This Step Matters

Behind every smooth installation is an organized system. Onboarding is where that system starts. It’s what allows SumZero to deliver consistent, high-quality work that respects your time, home, and expectations.

Did You Know?

Most HVAC companies hand you off to the next person with little communication. At SumZero, your Project Coordinator stays with you from planning to final walkthrough. It’s the biggest reason customers say our process "just feels easier."

Ready to Move Forward with Confidence?

We’re not just installing a heat pump—we’re managing your experience from start to finish. Our onboarding process is where it all comes together, and your comfort becomes our shared mission.

Frequently Asked Questions About Onboarding

Everything you should expect once your project officially kicks off.

What is the role of my Project Coordinator?

They’re your main point of contact from this point forward. They manage scheduling, communication, documentation, and coordination with our internal teams.

Will I know the exact install date at this point?

Yes. We lock in your preferred date and give you a full project timeline, including inspections and key milestones.

Do I need to apply for permits myself?

No. We take care of all permitting and inspection scheduling. Your coordinator will keep you informed as approvals come through.

Can my install be delayed by permit issues?

Rarely, but we monitor town-specific permitting schedules and work closely with local officials to minimize delays.

Do I get to approve the install layout again?

Yes. Before installation begins, we schedule a Project Designer walkthrough to confirm final placement and answer questions.

How do I contact my Project Coordinator?

You’ll receive their direct contact information, and you can reach them via email, phone, or text during regular business hours.

Will I receive documentation of the full project scope?

Yes. Your coordinator will send over your full project packet, which includes your final scope, rebate documents, and system layout.

How long is this phase?

It typically takes 1 to 2 weeks to complete onboarding, depending on permit lead times and your availability for scheduling.

What if I need to reschedule my install date?

That’s no problem. Let your coordinator know as early as possible so we can shift the schedule without affecting other project steps.

Is financing handled during this stage?

If you're using the 0% HEAT Loan or any other financing option, this is when we help you finalize your application and submit supporting documents.
